2. Scope of this notice
This notice explains how we collect, use, share and protect your personal data when you visit soluswealth.co.uk or use our introduction service. It applies to information we hold about you up to the point you are introduced to a wealth adviser firm. Once you are introduced, the receiving firm becomes a separate, independent data controller and their own privacy notice will apply to any data they collect or use.
3. Personal data we collect
We collect only the personal data you provide to us through the chat-based form on our website. This includes:
| Category | Examples |
|---|---|
| Identity | Full name |
| Contact | Email address, phone number |
| Eligibility | Self-declared income or asset bracket (e.g. £100k+ income or assets) |
| Preferences | Area you would like advice on, age bracket, meeting preference |
| Consent records | Timestamp of consent, IP address, browser metadata |
| Technical | Cookies and similar identifiers (see our Cookie Policy) |
We do not ask for or collect special category data (such as health, ethnicity, or biometric data), bank account details, payment information, or government identifiers. If you provide this in the free-text field, please don't — and we will delete it on receipt.
4. How we use your data and the legal basis
We use your personal data only for the purposes set out below, on the legal bases stated.
4.1 Making the introduction
We share your details with one carefully selected, FCA-regulated wealth adviser firm so they can contact you for an initial conversation. Legal basis: consent (UK GDPR Article 6(1)(a)). You provide consent by ticking the box on the form before you submit your details.
4.2 Confirming your eligibility for the introduction service
We use your self-declared income/asset bracket to confirm you fit the eligibility criteria for our introduction service. If you indicate you don't meet the criteria, we won't pass your details on and will instead point you to the free MoneyHelper service. Legal basis: legitimate interests (UK GDPR Article 6(1)(f)) — operating an eligibility filter is necessary for our business and has no material privacy impact.
4.3 Keeping records of introductions made
We keep a record of introductions for accounting purposes and to comply with our written agreement with the receiving adviser firm. Legal basis: legitimate interests (administering our business) and legal obligation (tax and accounting record-keeping under UK law).
4.4 Service communications
We may send you transactional emails to confirm your form submission and let you know when the adviser will be in touch. Legal basis: legitimate interests (operating the service you requested).
4.5 Improving the website
We use anonymous analytics to understand how the website is used. Legal basis: consent via the cookie banner.
We do not use your data to send marketing emails, sell on to third-party marketers, or build advertising audiences from the personal data you submit through the form.
5. Who we share your data with
We share your data with the following categories of recipient, and only as needed for the purposes above.
5.1 The wealth adviser firm we introduce you to
We share your name, contact details, eligibility bracket, and stated area of interest with one FCA-regulated wealth adviser firm so they can contact you. The receiving firm's identity is disclosed to you at the point of introduction. We have a written introducer agreement with the receiving firm that requires them to handle your data lawfully and only for the purpose of arranging an initial conversation.
5.2 Service providers (data processors)
- Netlify, Inc. — hosting our website and form-submission infrastructure
- Google LLC — Google Workspace email and Google Sheets, used internally to record form submissions
- Zoho Corporation — email service for hello@soluswealth.co.uk
These providers process data on our instructions only and under written data processing agreements that comply with UK GDPR.
5.3 Authorities and legal requests
We will disclose data only if required by law or to protect our legal rights — for example, in response to a court order, regulator request, or fraud investigation.
We do not sell your data to anyone, ever.
6. International transfers
Some of our service providers (Netlify, Google) are based in the United States or process data in countries outside the UK. Where this happens, transfers are protected by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, ensuring your data has equivalent protection to UK law.
7. How long we keep your data
| Data | Retention period |
|---|---|
| Form submissions where you were introduced to an adviser | 6 years from date of introduction (HMRC tax record retention) |
| Form submissions where you weren't introduced (e.g. didn't qualify) | 30 days, then deleted |
| Transactional email correspondence | 2 years |
| Cookie and analytics data | Up to 13 months (per Google Analytics defaults) |
You can ask us to delete your data sooner — see Section 9.
8. How we protect your data
We use appropriate technical and organisational measures to keep your data safe, including encryption in transit (HTTPS), encrypted storage on our service providers' infrastructure, restricted access controls (only Mr Abdullah accesses personal data), and timely deletion in line with the retention schedule above. No system is perfectly secure; if a personal data breach occurs that affects you, we will notify you and the ICO as required by law.
9. Your rights
Under UK GDPR you have the following rights in relation to your personal data:
- Access — request a copy of the data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — ask us to delete your data ("right to be forgotten")
- Restriction — ask us to stop processing your data while a query is resolved
- Portability — request your data in a machine-readable format
- Objection — object to processing based on legitimate interests
- Withdraw consent — for any processing based on consent, withdraw consent at any time
- Complain to the ICO — if you're unhappy with how we've handled your data
To exercise any of these rights, contact us at hello@soluswealth.co.uk. We will respond within 30 days. There is no fee unless your request is manifestly unfounded or excessive.
If you've been introduced to a wealth adviser firm, requests to access or delete data held by that firm should be directed to them. We can only act on data we still hold ourselves.
10. Complaints
If you're not satisfied with how we've handled your data, please contact us first so we can try to resolve the issue. You also have the right to complain to the Information Commissioner's Office at any time:
